Confirm passenger capacity, travel times, pickup locations, waiting charges, and a backup plan for delays.
List who needs transport, pickup points and the time each group must arrive. Consider passengers wearing formal clothing, accessibility needs and luggage. A vehicle’s advertised capacity may not reflect the comfort you want for a longer journey.
Share the full route with the operator and confirm parking and access at every stop. Ask about waiting time, overtime and a replacement vehicle if there is a breakdown. Guests should know whom to contact if they miss a departure.
Use the actual passenger count, vehicle capacity and round-trip time. Ask the operator to propose a schedule that includes boarding time and a buffer for traffic.
Describe the specific requirements directly to the operator, including any mobility equipment. Confirm the assigned vehicle rather than relying on general fleet information.
Agree on waiting allowances, overtime charges and the final service time. Make sure the driver or dispatcher has an on-the-day contact.
Prices are starting estimates. Confirm packages and availability with each vendor.
